Free Dispatch Statement Reconciliation Spreadsheet

This free spreadsheet compares your own job records with your dispatch company's weekly report, line by line. Enter what you collected and what the report shows, and it works out your cut both ways and totals the difference. A negative total means the report pays you less than you earned.

How to use the spreadsheet

  1. Set your split. On the “My week” tab, type the share of the net you keep in cell B2, for example 30.
  2. Enter your jobs. For every job, type the date, address, what you collected, and your parts cost.
  3. Enter the report. For the same jobs, type what the company's report shows as paid and parts.
  4. Read the difference column. Red means the report pays you less. A job the company left off shows its whole cut as missing.
  5. Send the total. Use the jobs in red as your list when you raise it with the company in writing.

What each column does

ColumnWhat goes in it
A to DYour records: date, address, what you collected, your parts
E and FThe company report: what it shows as paid and as parts
GYour cut from your own records, using your split
HYour cut from the company report (type over it if the report shows your share directly)
IDifference: negative means you are owed money
JNotes, such as "missing" or "parts twice"

The Example tab is a filled-in week using a 30% split. It comes out $76.50 short across three jobs: one paid below what was collected, one missing, and one with parts deducted twice. It matches the worked example in our guide on how to check your dispatch company's weekly report.

Skip the typing

The spreadsheet works, but it means typing every job twice. Ron Reports reads your closing message as you finish each job and reads the company's report straight from the PDF or HTML file, then matches every job by date, address, and amount. The free plan includes one full report check.

Frequently asked questions

Is the reconciliation spreadsheet really free?

Yes. Download it directly from this page with no account and no email. It is an Excel file with the formulas already built in.

Does the template work in Google Sheets?

Yes. In Google Sheets, choose File, then Import, then Upload, and select the file. It also opens in Microsoft Excel, Apple Numbers, and LibreOffice.

What if my dispatch report shows my share instead of paid and parts?

Type the share the report shows straight into the "Your cut (company report)" column, over the formula. The difference column still compares it with the cut from your own records.

What if I have different splits for different jobs?

Each tab uses one split percentage in cell B2. Duplicate the "My week" tab for each split you work under, or use Ron Reports, which applies your split, card fees, and per-job fees to every job and keeps company and private jobs separate.

How is this different from Ron Reports?

The spreadsheet is manual: you type every job from your records and from the report. Ron Reports reads your closing messages as you finish each job, then reads the company report from a PDF or HTML file and matches every job by date, address, and amount for you.
